Everything you need to know about weekly check-in

How Weekly Check-In Works

Every Wednesday night at Land-Grant Brewing, teams check in to secure their spot at the tables. Check-in is first-come, first-served with one important exception: returning teams get priority.

Who Can Check In Your Team?

Any team member can check in the team - it does not have to be the captain. If your captain is running late, you or your partner can check in on behalf of the team.

Check-In Opens

Check-in typically opens around 6:00 PM on event day. You will see a "Check In" button appear on the homepage when it is time.

At the Brewery

When you arrive, either scan the QR code at the check-in station or check in through the app on your phone.

Table Assignment

Once enough teams check in, you will be assigned to a table. Your table number appears in the app.

Play Begins

When the event starts, head to your assigned table. Games typically begin around 7:00 PM.

QR Code Scanning Process

The fastest way to check in is by scanning the QR code at the brewery. Here is how it works:

Find the QR code

Look for the check-in station near the entrance or bar area. There is usually a printed QR code displayed on a stand.

Open your camera app

Use your phone's built-in camera. Most modern phones can read QR codes directly without a special app.

Point and tap

Point your camera at the QR code. A link will appear - tap it to open the check-in page.

Confirm your team

You will see your team name and can tap "Check In Team" to complete the process. If you are not logged in, you will be prompted to log in first.

Tip: Log In Before Arriving

Save time by logging into the app before you get to the brewery. That way, scanning the QR code will take you straight to the check-in confirmation.

On Multiple Teams?

If you are on more than one team this season (for example, you captain multiple teams or are a member of different teams with different partners), here is how check-in works:

Check In Each Team Separately

You can check in each team you are on independently. When you go to check in, you will see all teams you belong to and can select which one to check in.

Each Team Gets Its Own Table

Each checked-in team receives its own table assignment. Teams are completely separate for check-in order, table assignment, and standings purposes.

Returning Status Is Per Team

Returning team priority applies to each team individually. If Team A played last week but Team B did not, only Team A has priority this week.

Note: You Cannot Play for Two Teams in One Night

While you can check in multiple teams, you can only physically play at one table at a time. If both your teams check in, make sure each has a partner present who can play!

Returning Team Priority

To reward consistent attendance, teams that played the previous week get priority for the current week's event. This priority system applies starting from Week 2 of each season.

How Priority Works

If You Played Last Week (Returning Team)

  • * Spots are reserved for you until registration closes
  • * You are guaranteed a spot as long as you check in before games start
  • * You will see a "Returning Team" badge in the check-in system
  • * Even if the event looks full, your reserved spot is waiting

If You Skipped a Week (Non-Returning)

  • * You lose your returning team status
  • * You compete for remaining spots with other non-returning teams
  • * Spots are filled first-come, first-served after returning teams
  • * If all spots are taken, you will be placed on the waitlist

Week 1 of Each Season

During Week 1, there are no returning teams from the previous week. All pre-registered teams check in on a first-come, first-served basis.

Why This System?

This priority system encourages regular attendance while still allowing new teams to join when there is space. It keeps the league competitive and consistent while being fair to everyone. Returning teams know they have a spot waiting for them, and new teams have a clear path to join.

What Happens If You Do Not Return

Life happens - we understand you cannot make it every week. Here is what to expect if you miss a week:

    You lose priority status

    Missing one week means you are no longer a "returning team" for the next event.

    Back to regular queue

    You will need to check in early next week to secure a spot, competing with other non-returning teams.

    Regain priority by playing

    Once you play again, you will have priority status for the following week.

    Your team and stats remain

    Missing weeks does not affect your season stats or team membership. You can jump back in whenever you are ready.

Planning to Miss a Week?

No need to notify anyone - just do not check in. Your spot will automatically be available to other teams.

Tip: Keep Your Priority with a Sub!

If you are going to miss a week, consider adding a substitute to your team in the app. If your team still plays with a sub, you will maintain your returning team priority status for the following week. Go to your Team page to add a sub.

Waitlist and Capacity Limits

Each event has a maximum capacity based on available tables (2 teams per table). When there are no open spots for you, you can join the waitlist.

Understanding Capacity

Most events can accommodate 10-12 teams (20-24 players total). The capacity display accounts for returning team reservations, so you may see different numbers:

  • * Checked In: Teams currently confirmed for tonight
  • * Open Spots: Available to anyone right now
  • * Reserved: Spots held for returning teams who have not checked in yet

When Will I Be on the Waitlist?

Returning Team

If you played last week, you should be able to check in directly. Spots are reserved for you until registration closes.

Non-Returning Team

You compete for "Open Spots" with other non-returning teams. If none are available, you will be placed on the waitlist.

The Waitlist Experience

If you are placed on the waitlist, you will see a dedicated waitlist page that shows:

Your Position

See exactly where you stand in line. Position 1 means you are next if a spot opens.

Real-Time Stats

See how many teams are checked in, how many spots are open, and how many returning teams have not checked in yet.

Your Estimated Chance

Based on your position and available spots, you will see an estimate: High, Good, Possible, or Low. This updates in real-time.

Automatic Updates

Your position updates automatically as teams check in or leave. No need to refresh!

Getting Off the Waitlist

SMS Notification

If you provided a phone number, you will receive a text when a spot opens. Confirm quickly to secure your spot!

Registration Closes

When the game countdown starts, reserved spots for returning teams that did not show up are released. This often opens spots for waitlisted teams.

Admin Promotion

League admins can manually promote teams from the waitlist to check-in. Stay at the brewery so they can find you if a spot opens!

Pro Tips for Waitlisted Teams

  • * Stay at the brewery! Spots often open up close to game time.
  • * Keep your phone handy if you signed up for SMS notifications.
  • * Check your waitlist page - it updates in real-time.
  • * Talk to an admin if you are high on the list near game time.
Bye Rounds (Odd Number of Teams)

Sometimes there is an odd number of teams checked in. When this happens, one team sits out each round while the others play. This is called a "bye round."

Bye Round Points

If you have a bye round, your team automatically receives 10 points for that round. This is equivalent to winning a game, so you are not penalized for having a bye.

How Byes Are Assigned

The last team to check in gets the first bye. After that, byes rotate fairly so no team sits out more than necessary.

Silver Lining

A bye round is a great time to grab a beer, chat with other players, or watch some games. You still get your 10 points, so relax and enjoy!
